Add exceptions and days off

To close a department for a day off, or open it with different hours on a specific date, add an exception to that department. An exception applies once, over a single date or a range of dates, or repeats every year for holidays; bookings on a closed day are refused.

Steps

  1. Open the department. Exceptions belong to a department, because each department keeps its own hours. A clinic's Consultations department can close for a training day while its Front Desk stays open.
  2. Add an exception and name it. Staff training day, Independence Day, Stocktake.
  3. Set the date. A start date, and an end date if it covers more than one day, such as a week's closure between holidays.
  4. Choose closed or open.
    • Closed: no hours that day. Leave the times empty.
    • Open with different hours: set the opening and closing time for that date, such as a short day before a holiday.
  5. Choose how it repeats. Once for a one-off date, or every year for a holiday on the same date each year.
  6. Save. Availability for that department reflects the exception at once.

How exceptions affect bookings

  • On a closed exception day, no slots are offered, and a booking for that day is refused with the exception named as the reason.
  • On a day with different hours, slots follow the exception's hours instead of the regular ones.
  • Bookings made before you added the exception are not moved or cancelled. Check them and reschedule where needed.

Notes and limitations

  • Only once and yearly repeat. Daily, weekly, or monthly repeats are not applied to availability. For a recurring weekly change, change the department's regular hours instead.
  • Per department. An exception closes one department, not the whole location. Add it to each department that closes.
  • Removing an exception archives it, and the regular hours apply again.

How do I close for a public holiday every year?
Add an exception with the holiday's date, set it to closed, and choose to repeat it every year.
Does adding a day off cancel existing bookings?
No. Existing bookings stay as they are. Check them and reschedule where needed.
Can I close every other Friday with an exception?
Not with an exception: only one-off and yearly repeats are applied. Change the department's regular working hours instead.
