Attach an asset to an entry

To attach an asset to an entry, put it in the Asset Library first, then pick it in one of the entry's media fields: an image field, a gallery field, or a file field. The field holds a pointer to the asset, so the file itself stays in the library.

Requirements

• A role that can edit entries in the collection.
• The collection has a media field of the right kind. If it does not, add one; see Add or change a field.
• The file is in the Asset Library (elsewhere: media library, files), or you have it ready to upload.

Which field to use

• Image: one picture per entry, such as a listing's cover photo or a consultant's headshot.
• Gallery (multiple images): several pictures in order, such as every room of a property.
• File: a document, such as a signed engagement letter or a spec sheet.

Steps

1. Get the asset into the library. Upload it, as in Upload a file or image, or bring it in from a web address.
2. Open the entry. Or create it; see Create an entry.
3. Pick the asset in the media field. For a gallery, add each image in the order you want them shown.
4. Save the entry. If the file does not meet the field's rules, the save names the field and what it expects.

Rules a media field can set

• An image or gallery field can limit which image formats it accepts and set minimum and maximum width and height.
• An image field can define named sizes, such as a thumbnail and a large version, and a default format and size to deliver.
• A file field can limit which file types it accepts and set a maximum file size.
• Any media field can be required, so an entry cannot be saved without it.

Notes and limitations

• An agent can attach images from web addresses in bulk; see Bulk media import. The entries must exist before their images are imported.
• Images from a web address must come from a secure address, one starting with https.
• Keeping earlier versions of an asset is not available. To change a picture, replace the file on the asset or attach a different asset.
