Enroll contacts in a Reply.io sequence

With Reply.io connected to a collection, you select entries and enroll them in a Reply sequence in one batch, or take them out again. The batch runs in the background and reports how many were enrolled, skipped, or failed; each entry then shows which sequences it is in.

Requirements

  • A Reply.io connection set up for the collection, such as Contacts or Leads. A default sequence can be set on the collection.
  • A role that can edit that collection.
  • Entries with an email address or a LinkedIn profile address.

Steps

  1. Select the entries. Filter the collection down to the people you want: an advisory firm picks contacts at companies it met at a conference last month. See Filter a view.
  2. Choose the sequence. Pick a Reply sequence, or keep the collection's default.
  3. Enroll. The batch is queued and runs in the background.
  4. Check the result. The batch shows its state, from queued to running to done, and counts how many entries matched, were processed, succeeded, failed, and were skipped. Contacts who had opted out are always counted, even when the count is zero.
  5. To stop outreach, select the entries and unenroll them the same way.

What you see on entries

A collection's list can show an outreach badge for each entry: how many sequences it is enrolled in, its most important status across them, and their names. The badge comes from Sonta's own copy of the enrollment data, so showing it never calls Reply.

Warnings worth reading

Some things work but still need your attention. They appear as warnings, not failures:

  • Custom field values not sent. A field mapped to a Reply custom field was not sent, because the Reply field no longer exists, is a type this connection does not fill, or the value did not fit a number field. The contact was still enrolled.
  • No email and no LinkedIn address. The contact was enrolled, but Reply has no way to recognize it again. Enrolling it a second time creates a new contact in Reply, and an opt-out recorded on the earlier one no longer applies. Add an email or a LinkedIn address before enrolling again.

Notes and limitations

  • Opted-out contacts are skipped, not enrolled.
  • Enrolling and unenrolling run in the background; large selections take time to finish.
  • The sequences themselves, their steps and schedule, are built in Reply, not in Sonta.

Frequently asked questions

What happens to contacts who opted out?
They are skipped. The batch always shows how many opted-out contacts were skipped.
Why did a contact appear twice in Reply?
The contact has neither an email nor a LinkedIn address, so Reply cannot recognize it and creates a new contact each time. Add one before enrolling again.
Does showing the outreach badge call Reply?
No. The badge comes from Sonta's own copy of the enrollment data.
