Invite a user
Decide which role the person should have, then send them an invitation by email. They become a member with that role's permissions once they accept the emailed link — until then they have no access. Invitations can be resent or cancelled while pending.
Requirements: a role that can manage users and roles — the built-in Admins role has this. You will need the person's email address.
Steps
- Decide the role first. Access is granted through roles, not person by person, so settle what this person should be able to do before inviting them. If no existing role fits, create one with the right permissions and use that.
- Send the invitation. Enter their email address and pick the role. This sends a real email to that address — check it is correct before sending.
- Wait for them to accept. They open the emailed link and join. Until they accept, they are not a member and have no access at all.
- Confirm their access. Once they have joined, check they are in the intended role — what they can see and change follows from it.
While an invitation is pending
An invitation that has not been accepted can be resent — useful when it was missed or has expired — or cancelled if it was sent in error or to the wrong address. Cancelling stops the link from working.
Notes and limitations
- Invitations are per business. Someone who works in two of your businesses must be invited to each separately — a role in one grants nothing in another.
- Sending an invitation emails a real person. Double-check the address; a mistyped one sends an invitation to a stranger.
- The role is what matters, not the invitation. To change what someone can do later, move them to a different role rather than re-inviting them.
- Invitations expire — resend rather than creating a second one for the same person.
- Be deliberate about the built-in Admins role: it can do everything, including managing roles and inviting others.

Frequently asked questions
I invited someone but they cannot see anything.
They have not accepted yet, or the invitation went to a different address. A pending invitation grants nothing — resend it, or cancel and invite the correct address.
How do I change what someone can do after they join?
Move them to a different role. Access comes from the role, so changing it takes effect immediately without re-inviting.
Does inviting someone give them access to all my businesses?
No. Invite them to each business separately — membership and roles do not cross between businesses.
