Status and publishing
Every entry has a status: draft, published, or unpublished. Status, together with an optional publishing window of start and end dates, decides whether the entry counts as published, and that is what a connected website shows. Your team sees every entry whatever its status.

Requirements
None to read. To change an entry's status: a role that can edit entries in the collection.
The three states
Status (elsewhere: publication state) is one of the built-in fields every collection has, and it is required.
- Draft: being prepared. A draft can be saved with required fields still empty.
- Published: ready for the public. Every required field must be filled in.
- Unpublished: deliberately taken off the public side, such as a listing that has sold or a service you have paused.
New entries start as drafts in collections you create. The collections that come with a new business, such as contacts and deals, start new entries as published.
The publishing window
Three more built-in fields shape when a published entry is live:
- Published Start Date: the moment it goes live. Set it in the future and the entry is scheduled: published, but not yet shown.
- Published End Date: the moment it stops counting as published, such as the end of a seasonal offer.
- Published Timezone: the timezone the two dates are read in.
A brokerage can prepare an open-house listing on Monday, publish it with a start date of Friday at 9:00, and let it end on Sunday evening, with nothing left to do by hand on either day.
Who sees what
- Your team and agents see entries in every state, within their roles.
- A connected website sees only published entries inside their window, and only from collections it has been granted. See How collections power a site.
Status is about publishing, not about where work stands. For a process such as qualifying a lead or closing a deal, use stages; see Stages vs option field vs status.
Notes and limitations
- Filters treat scheduled entries separately: a filter for drafts does not include published entries waiting for their start date.
- An automation can run when an entry's status changes, for example to notify the team when a listing is published. See Automation triggers.
- If a published entry does not appear on your site, see My entry does not appear on the site.
