Choose visible fields and column order

Choose the columns a view shows by picking fields from the collection's searchable fields, then save the view to keep that set. Only searchable fields can be shown as columns, so a field missing from the list needs to be made searchable first.

Requirements

• A role that can edit the collection. Working with saved views uses the same permission; there is no separate one for views.
• The fields you want as columns are marked searchable.

Steps

1. Open the collection's table view. A view is a saved way of looking at a collection's entries.
2. Pick the columns. Choose which fields appear as columns. A recruiter's pipeline view might show candidate name, role, recruiter, and availability date, and leave out phone numbers and notes.
3. Arrange them. Put the columns in the order you read them, most important first.
4. Save the view. Give it a name, and choose whether it is shared with everyone who can open the collection or kept for yourself. Create and save a view covers saving in detail.

When a field is not in the list

Columns can only come from fields marked searchable. If a field does not appear, open the collection's fields and turn on searchable for it. Add or change a field shows where that setting lives. The same rule applies to filters, so a field you cannot show as a column cannot be filtered on either.

Notes and limitations

• A saved view keeps its name, its columns, and its filters. It does not keep a sort order.
• Only the person who created a saved view can change or delete it.
• A shared view is visible to everyone with access to the collection; a personal view only to you.
• A secret field cannot be made searchable, so it can never be a column. See Fields: built-in and your own.
